Technical session on best practices in spreadsheet management with Bold Workplanner

Seminario web workplannerCostaisa and Global Planning Solutions (GPS) have organized a webinar to present two best practices in the use of Bold Workplanner, the most widely used spreadsheet management solution nationwide. Pablo Plaza, Director of Nursing at the Clínica Nuestra Sra. de la Paz and the Centro San Juan de Dios de Ciempozuelos in Madrid, and Mª Ángeles García Monge, Nursing Supervisor in the Area of Professional Management at the Hospital de la Santa Creu i Sant Pau in Barcelona, were the guest speakers at the event to share their experiences.

Spreadsheet tracking is one of the main headaches for Human Resources and Nursing teams, and the speakers agreed that before the implementation of the solution, it could take between 60 and 70% of the working day for those responsible for managing them to organize the spreadsheets to ensure optimal service coverage and avoid overlapping shifts.

Knowing with total transparency the degree of availability of the rest of the team or of the usual substitutes, the skills of the people, their family situation or their contract limitations, are some of the circumstances that can facilitate substitution from a technical and organizational efficiency point of view.

Considering all the variables and casuistics of the job and the conditions of each agreement are the central axes in the management of spreadsheets for Bold Workplanner. The solution allows the optimal allocation of personnel activities taking into account their skills and the company's criteria, managing personnel movements between different units to compensate for workloads between areas or to reconcile with family life, among many other functions.

It also has its app version designed especially for healthcare professionals, as it allows them to consult the work schedule, manage coverage, permissions and vacations, and access a shift exchange marketplace, all integrated with corporate human resources management systems: SAP, Peoplesoft and Meta4, among others. In addition to facilitating personal and work-life balance, it also helps to attract and retain talent by having these processes digitized.

The event was attended by Jordi Campo, Director of Health at Costaisa, and Miguel Pineda, Manager at GPS, who presented the product and moderated the round of questions. Costaisa is a commercial partner and implementer of Bold Workplanner for GPS, a Catalan company with more than 20 years of experience in work time planning solutions in reference healthcare organizations such as Hospital de Sant Pau, Orden Hospitalaria San Juan de Dios, Consorci Sanitari del Maresme, Domus Vi, Hospital de Bellvitge, Sant Joan de Reus or Parc Taulí, among others.
